The administrator of the databases of personal data obtained during the process of booking hotel services and when accommodating guests at Hotel Julijske Alpe is the company Igb, d.o.o., Kolodvorska Ulica 64, 4260 Bled

The terms "we", "our", "us" and "Hotel Julijske Alpe" refer to Igb, d.o.o. and our services, the terms "you", "your", "you", "your", etc. refer to users of the reservation system services for booking a stay at the Julian Alps Hotel and to guests accommodated in the Julian Alps Hotel.

The information we collect is intended to provide a good user experience on the website, to provide reservations for hotel services and to provide hotel services.

From 7 January 2025, the company Igb d.o.o. uses the Rentl.io reservation system for booking stays in the hotel, the developer and provider of which is the company Rentlio d.o.o., Obala kneza Trpimira 2, 23000 Zadar, Croatia. For reservations made through the www.hoteljulijanalps.com website, Igb d.o.o. uses the Worldline payment system, the developer and provider of which is Worldline Financial Services (Europe) S.A., 33 rue du Puits Romain, Luxembourg. It is not possible to make a reservation without providing personal information – name, surname, country of residence, e-mail address and phone number.

Your personal information, such as name, surname, e-mail address and others, is never sold or otherwise forwarded to third parties by Igb d.o.o. However, in the event that the service provider is taken over by another company, all data is transferred to the acquiring company.

The terms used in the Privacy Policy have the following meanings:

• Personal data controller: the controller means the company Igb d.o.o., which determines the purposes and means of processing your personal data obtained during the booking of hotel services through  the www.hoteljulijanalps.com website  or external reservation systems, such as booking.com, agoda.com, hotels.com, trivago.com, etc.

• A contractual data processor is a legal or natural person to whom the controller entrusts certain tasks in the field of processing your personal data.

• User of the Reservation System Service: User means an individual who, during the booking process, identifies himself with his name, surname, e-mail address, country of residence and telephone number and other means of identification prescribed by this Privacy Policy and agrees with this Privacy Policy and uses the service on his own behalf.

• User of hotel services: user  means an individual who stays at the hotel and identifies himself or herself at check-in with his name, surname, e-mail address, country of residence and telephone number and other means of identification prescribed by this Privacy Policy and agrees with this Privacy Policy.

• Personal data(s): means any data relating to the user of the reservation system or the user of hotel services at the Hotel Julijske Alpe.

• The Personal Data Protection Policy  is an internal act on the protection of personal data of the controller or contractual processor of personal data.

3. Information We Collect

Website visitors who are not users of the reservation system for hotel services

The information we collect about website visitors who are not users of the hotel reservation system is very limited. We record your IP address so that we can help troubleshoot any problems with the server, track statistics on the number of visitors to our website and thus provide a better user experience. Regardless of whether your IP address is different on each visit or is always the same, it would be very difficult for us to recognize your identity, and we are not trying to do that. If you have accessed our website by clicking on a link or advertisement on another website, we also record this information. This makes it easier for us to understand the interests of our visitors and improve the presence of our services online. All collected data is aggregated and collected in our database, where it can be analysed in aggregate and never for an individual user. We also collect data from Google Analytics Solutions.

Users of the reservation system and users of hotel services

Regardless of whether you access the reservation system through the website www.hoteljulijanalps.com one of the external reservation systems, such as booking.com, agoda.com, hotels.com, trivago.com, or you want to make a reservation by phone or e-mail, the reservation is only possible if you provide some personal information. At check-in of a guest, user of hotel services:

4. Data processing based on a contract

The company Igb d.o.o. collects and processes personal data of individuals based on a concluded contract for the reservation of hotel rooms at the Julijske Alpe Hotel.

The company Igb d.o.o. further collects and processes personal data of individuals based on concluded contracts with its business partners. Based on these contracts, the company collects personal data of those individuals that are in any way necessary for the performance of the contract.

The personal data collected on this basis are necessary for the purposes of the performance of the concluded contracts (for the purpose of providing the above-mentioned services and/or products) and measures prior to the conclusion of the contract. If the said personal data is not provided or the data subject does not agree with their processing, the conclusion of these contracts is not possible, and we will withdraw from the already concluded contracts.

For the purpose of performing the contract for the reservation of hotel rooms in the Julijske Alpe Hotel, the company Igb d.o.o. collects and processes the following personal data from the individual: name, surname, e-mail address, telephone number, address, country of residence, language.

For the purpose of performing the contract with its business partners, the company Igb d.o.o. usually collects the following personal data: name, surname, e-mail address, telephone number. Based on these contracts, the company may also collect other personal data that are specified in the individual contract and are necessary for the performance of this contract.

The company does not collect numbers and other data relating to payment cards and which the customer provides through the www.hoteljulianalps.com website. This data is collected exclusively by payment card payment providers.

5. Protection of personal data

To ensure the protection of personal data, Igb d.o.o. implements all necessary legal, organizational and appropriate logistic and technical procedures and measures, either only on the basis of internal acts or through its contractual partners, in such a way that:

• secure premises, equipment and system software, including input-output units;

• protects the application software with which personal data is processed;

• prevent unauthorised access to personal data during transmission, including transmission by means of telecommunications and networks;

• provides an effective means of blocking, destroying, deleting or anonymising personal data;

• It makes it possible to determine at a later date when individual personal data were used and entered into the database and by whom, for the period for which the individual data is stored.

6. Retention period of personal data

The retention period of personal data depends on the basis of processing and the purpose of processing each category of personal data. Personal data is stored only for as long as it is necessary to achieve the purpose for which it was collected or further processed. Personal data will be deleted, destroyed, blocked or anonymised after the purpose of the processing has been fulfilled, unless there is any other legal basis or if this is necessary for the assertion, exercise or defence of legal claims.

We store personal data processed on the basis of a contract for the period necessary for the performance of the contract and for 5 years after its termination, except in cases where a dispute arises between us and the data subject in connection with the contract; In such a case, we store the data for 5 years after the final court or arbitration decision or settlement or, if there was no litigation, for 5 years from the date of amicable settlement of the dispute. Invoices are kept for 10 years after the end of the year to which the invoice relates in accordance with the law governing the field of value added tax.

 

7. Rights of the individual

If an individual wants to obtain information about all the purposes for which Igb d.o.o. uses his or her personal data, he or she may request this by exercising the right of access. The company Igb d.o.o. will provide him with a detailed list of all processing of his personal data and their legal basis.

The company Igb d.o.o. provides individuals whose personal data is processed with the possibility of exercising their rights, in particular the right of access to personal data and rectification or deletion of personal data, as well as the exercise of the right to object. An individual may submit a request in a way that allows his/her identification (e.g. a verbal request to the record at the registered office of Igb d.o.o., a written request to the address of Igb d.o.o., Kolodvorksa Ulica 64, 4260 Bled). A copy of the personal data that is being processed or the requested information must be provided to the individual free of charge. We may charge a reasonable fee for additional copies requested by an individual, considering administrative costs. If the data subject's requests are manifestly unfounded or excessive, because they are repetitive, we reserve the right to charge a reasonable fee or refuse to act on the request received.

In accordance with the sectoral legislation, we enable the individual to exercise the following rights in relation to the processing of personal data:

• Right of access to data: the data subject has the right to obtain confirmation from Igb d.o.o. as to whether personal data is being processed in relation to him/her and, where so, access to personal data and additional information regarding the processing of personal data. • Right to rectification: The data subject has the right to obtain that inaccurate personal data relating to him or her may be rectified without undue delay. Taking into account the purposes of processing, the individual has the right to have incomplete personal data completed.

• Right to erasure: The data subject has the right to obtain the erasure of personal data relating to him or her without undue delay in the following cases:

  • personal data are no longer necessary for the purposes for which they were collected or otherwise processed,

  • the individual withdraws the consent based on which the processing takes place and there is no other legal basis for the processing,

  • the individual objects to the processing and there are no overriding legitimate grounds for the processing,

  • the personal data has been unlawfully processed;

  • when so provided by law (right to erasure).

• Right to restriction of processing: the data subject has the right to obtain that Igb d.o.o. restricts the processing of his or her personal data in accordance with the prescribed purposes of processing. The data subject has the right to obtain the restriction of the processing of his or her personal data where one of the following applies:

  • the data subject disputes the accuracy of the data, for a period that allows us to verify its accuracy,

  • the processing is unlawful and the individual objects to the erasure of the personal data, and instead requests the restriction of their use,

  • we no longer need personal data for the purposes of processing, but the individual needs them to assert, exercise or defend legal claims,

  • the individual has lodged an objection to the processing of the data until it has been verified whether the legitimate reasons of the controller outweigh the reasons of the individual (right to restriction of processing). Where the processing of personal data has been restricted in accordance with the above, such personal data, with the exception of their storage, shall be processed only with the consent of the data subject or for the establishment, exercise or defence of legal claims or for the protection of the rights of another natural or legal person. We will inform the individual before revoking the restriction of processing.

• Right to lodge a complaint regarding the processing of personal data: the data subject has the right to lodge any complaint regarding the processing of personal data. A complaint regarding the processing of personal data should be forwarded to us to the e-mail address info@hoteljulianalps.com or by registered mail to the organization's headquarters.

• Right to lodge a complaint with a supervisory authority: A data subject has the right to lodge a complaint with the Information Commissioner if he or she considers that the processing of personal data relating to him or her violates the provisions in the field of personal data protection.
